This policy explains what information MAVIK Tax & Bookkeeping (“MAVIK”, “we”) collects, how we use it and how we protect it. We take this seriously: preparing taxes means handling some of the most sensitive information you have.
Information we collect
- When you contact us: your name, phone number, email, the service you are interested in and any message you send.
- When you become a client: the information needed to prepare your return or keep your books — for example identification, Social Security numbers or ITINs, income documents, bank details for direct deposit and business records.
- When you visit our website: basic technical data our hosting provider records automatically, such as IP address, browser type and pages visited. We do not use advertising cookies.
How we use it
- To answer your questions and schedule appointments.
- To prepare, review and file your tax returns and provide bookkeeping and payroll services.
- To comply with our legal obligations, including IRS record-keeping rules.
Your tax return information
Federal law (Section 7216 of the Internal Revenue Code) restricts how tax preparers use and disclose tax return information. We do not use or disclose it for any purpose other than preparing and filing your return unless the law allows it or you give us your signed consent. Your return is shared with the IRS and with our partner firm, Paredes Puma, only to prepare and electronically file it.
We do not send your Social Security number or your return information to anyone outside the United States. If any support work is ever done outside the U.S., it is done only with your separate written consent and never with your Social Security number.
Privacy notice under the Gramm-Leach-Bliley Act
Tax preparers are considered financial institutions under the federal Gramm-Leach-Bliley Act. This section is our privacy notice under that law:
- What we collect: the categories listed above.
- What we share: only what is needed to provide your service — with the IRS and other tax authorities, with our partner firm to prepare and file your return, and with service providers bound by confidentiality (for example, secure document storage and tax software), or when the law requires it.
- What we never do: we do not sell, rent or trade your information, and we do not share it with other companies for their own marketing. Because we don’t share it for those purposes, there is nothing you need to opt out of.
- Former clients: this same policy keeps protecting your information after you stop being a client.
How we protect it
As the FTC Safeguards Rule requires, we maintain a written information security plan based on IRS guidance (Publication 5708). It includes encrypted storage, multi-factor authentication, access limited to the people working on your file, secure ways to send documents, staff training and a plan to respond to any incident. Please never send Social Security numbers through our website form or ordinary email; we will give you a secure way to share documents.
If something goes wrong
If your personal information is ever involved in a data breach, we will notify you as required by Florida law — as quickly as possible and no later than 30 days after we determine it happened — and we will notify the authorities that the law requires.
How long we keep it
Federal law requires us to keep a copy of each return we prepare, or a list of the returns, for at least three years. We keep returns and supporting records for that period and longer when needed to support your return or meet other legal obligations. Then we delete or destroy them securely.
Phone, text and WhatsApp
If you give us your number and consent, we may contact you about your request and your account. Message and data rates may apply. You can reply STOP or tell us at any time that you no longer want to be contacted this way. We do not send marketing messages without your permission.
Your choices
You can ask us what information we hold about you, ask us to correct it, or ask us to delete information we are not legally required to keep.
Children
Our website is not directed to children under 13. We only collect a child’s information when a parent or guardian provides it to include them on a tax return.
Changes
If we change this policy, we will post the new version here with a new date.
